El Sistema Oklahoma is a unique after-school program serving over 200 public school children in the heart of Oklahoma City. The mission of El Sistema Oklahoma is to serve the community by engaging children within an ensemble-based music program so they can share the joy of making music and grow as responsible citizens. The children attend the program daily until 6pm and all program services are provided for free. El Sistema Oklahoma is part of a unique partnership with St. Luke’s United Methodist Church and the Wanda L. Bass School of Music at Oklahoma City University. While functioning as a 501c3 non-profit, we benefit greatly from the services and support of these partners.

Job Overview

The Site Coordinator for El Sistema Oklahoma (ESO) is responsible for the daily operations of the ESO program site. The Site Coordinator is the primary connection point between families, schools, ESO faculty, staff, and volunteers with the daily operations of the program.

The Site Coordinator reports to the Executive Director. A unique feature of our organization is that the Executive Director and the Site Coordinator are employed through a partnership with St. Luke’s United Methodist Church and serve as part of the church staff on a regular basis.

The Site Coordinator works as the lead contact point for the Administrative Desk Team while on site and, with the support of the Executive Director, schedules and coordinates the daily activities of the Asst. Site Coordinator, the Academic Coordinator, the Site Intern and volunteers.

The Site Coordinator can expect an average of 40-45 hours per week during the program year (appox. 32 weeks) with very flexible scheduling during non-program weeks. The program calendar mirrors the calendar of Oklahoma City Public Schools. The Site Coordinator is present at the site when volunteers and children are on site (approx. 2:00pm-7:00pm Monday-Friday during program session) and has office space to perform administrative functions when not at the program site (approx. 10am-2:00pm). Some weekend and additional evening availability is necessary and is scheduled in advance.

Essential Job Duties:

· Coordinates day-to-day operations of the program including, but not limited to, opening/closing the building, transportation, food service, set up & take down, light custodial, room scheduling, and maintenance requests

· Develops and maintains a high level of communication and positive relationships with ESO faculty, staff, volunteers, school personnel, site chef, OKCPS transportation/District, St. Luke’s United Methodist Church staff, donors, partners, and program children and families.

· Develops and maintains positive parent communication/relationships and provides needed services to families. Ensures families are kept up-to-date on program happenings (newsletters) and coordinating needed services for children/families (ie rides, equipment, social/emotional support)

· Provides program orientation, training and supervision to volunteers

· Prepares reports, distributes and collects needed information from program constituents (for example: student attendance and behavior concerns reporting and communicates with families & faculty about these concerns)

· Maintains a variety of records (e.g. student enrollment, student schedules, accident and incident reports, checklists, financial records, etc.)

· Maintains the program calendar on site, coordinating transportation, food service, and spaces according to the calendar and events.

· Performs other duties as deemed necessary or assigned

Qualifications

· Bachelor’s degree preferred, extensive work history may be considered in lieu of degree; focuses in education, psychology, sociology, behavioral studies, human relations or social work preferred

· Bilingual in Spanish, a plus!

· Experience working in an organization serving urban populations of children or youth

· Ability to work effectively with diverse staff, parents and community members

· Ability to implement and supervise a positive learning environment

· Experience with conflict resolution

· Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal skills

· Action-oriented, entrepreneurial, pro-active, adaptable, and innovative

· Must be able to use a computer, Microsoft Office/Word/Excel, Internet, e-mail, copier, and printer

· Must submit to a background check and motor vehicle check. Must submit to a drug screen if requested.

· CPR / First Aid Certified, a plus!
