Job Summary:

The Executive Assistant to the Senior Pastor has the responsibility to fulfill the administrative needs of the Senior Pastor of St. Luke’s. This would include, but not be limited to, scheduling, travel arrangement, correspondence, organization of events, research, and secretarial responsibilities.

Roles and Responsibilities:

  • Completes a broad variety of administrative tasks for the Senior Pastor and Senior Executive Pastor including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the Senior Pastor’s and Senior Executive Pastor’s schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Senior Pastor’s and Senior Executive Pastor’s time and office.
  • Communicates directly, and on behalf of the Senior Pastor and Senior Executive Pastor, with staff, church leadership, church membership, community members, UMC Conference members, and others.
  • In conversation with the Senior Pastor and Senior Executive Pastor, researches, prioritizes, and follows up on incoming issues and concerns regarding their roles. Determines appropriate course of action, referral, or response following direction from Senior Pastor and Senior Executive Pastor.
  • Provides a bridge for smooth communication between the Senior Pastor and Senior Executive Pastor offices and internal departments; demonstrating leadership to maintain credibility, trust and support with staff.
  • Works closely and effectively with the Senior Pastor and Senior Executive Pastor to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Senior Pastor and Senior Executive Pastor updated.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Senior Pastor and Senior Executive Pastor, some of which may have organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Qualifications:

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Emotional maturity as well as very strong interpersonal skills and the ability to build relationships with guests, including staff, church members, conference leadership, community leaders, and others
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Minimum 3-5 years working in a supportive role as an Executive Assistant

Additional Information:

  • Hours: Salaried, Exempt; Office hours Monday – Friday, some evenings may be necessary for group meetings
  • Pay Rate: Negotiable, commensurate with experience
  • Full Time or Part Time: Full Time
  • Accountable to: Senior Pastor
  • Full benefits package (medical, dental, vision, 403(b))
  • Must pass background check and provide 3 professional references
